Frequently Asked Questions 

Who is a band booster?

If your student is part of the band program, you are! All current parents and family members are strongly encouraged to become actively involved! We need assistance on a continued basis to keep the program as successful as it has been. Everyone is welcome to work together to support and improve the instrumental music program for our children.  Attend the monthly meetings and get involved in the decision making.

 

What do we do?

Whatever is necessary! There are many administrative and physical details to running such a large and successful program. Mr. Blevins has no secretarial support. Imagine, for example, the logistics of feeding and transporting 60+ Marching Band members (uniforms, equipment and their instruments) many miles each weekend for a band competition!

 Funds must be raised and accounted for, permission slips and health forms obtained and filed, chaperones recruited, luggage checked and stowed, as well as a thousand other necessary tasks and details.

 

Where does the money come from to fund all of the events and pay for extra instruction?

Some of the money comes from band fees, a much larger portion of the funding comes from fundraising (candy sales, concessions, funnel cake booth, etc.).  It is important to understand that when a parent signs up to work an event, the band counts on the generation of funds from the parents’ work at the event.  Occasionally, the band gets a donation for a specific use.

 

What does the ‘band fee’ money actually pay for?

A large portion of the band fee money pays for the expenses of Band Camp. Extra Instructors are hired for the specialized training of certain sections. This can change year to year depending on the seniority in the particular sections. Some of the fee money is used for instrument parts/maintenance, uniform maintenance and equipment rental for training. The money is also used for incidentals, such as, water to prevent dehydration during practice.  Although the Band Camp does not include lunches or dinners due to the logistics of providing them, the fees do pay for some of the meals during the competition season.

 

Such massive undertakings require parents and supporters to help everything run smoothly

We also assist with every performance—sometimes preparing travel itineraries, arranging for food every weekend (even preparing two or three meals), providing refreshments, moving equipment, and even fixing last-minute uniform emergencies…… and did we mention moving equipment?

Of course, we raise funds for the band program.  We are often asked, “Why do the BCHS Band Boosters do so much fundraising?”   There are many expenses, which we gladly cover, that help make our program far superior to other programs with similar funding constraints.

Band Camp clinicians, instruments and repairs, trip expenses, student meals and a myriad of other small but extremely significant details are handled by the Band Booster Association budget to keep our program one of the best in the state of Kentucky.  

 

Why you?

If your child is part of the program, then you are part of the support system. If each of the band parents contributed a modest effort, none of us would find the tasks difficult. Some of us enjoy the camaraderie of regular band events and look forward to the opportunities band parents are given to interact with a terrific bunch of kids!

 Band Officer Job Descriptions

 

The President(s) shall preside at all meetings, appoint all committees (except nominating), and shall be ex-officio of all committees or appoint Vice-President(s) in his/her place.

It is the duty of the president(s) to ensure that all projects coming from the band boosters are implemented in a timely manner, have adequate volunteers to accomplish the task and that the overall project reflects the goals and vision of the Boyle County Band Program.  The president does not have to work on all projects, but should be willing to step in and assist if needed. 

One or both president(s) should serve as the primary representative and spokesperson for the band booster organization.  Any controversial issues, meetings and or topics needing representation, one or both presidents should take an active role and attend said meetings or appoint someone to represent the band booster organization.

The Vice-President(s) shall assume all duties of the President(s) in his/her absence and serve as ex-officio if appointed by the President(s).   

The Vice-President(s) shall serve as the principal fundraising committee, researching fundraising options and presenting ideas to the executive committee for approval. 

The Vice-President(s) shall preside over any meetings in place of the president(s), should they be unable to attend.

Both the president(s) and vice-president(s) shall be signatories on the band booster financial accounts.

Both the president(s) and vice-president(s) shall attend any and all official band booster meetings and events (unless an extenuating circumstance is present that prevents attendance).

The Secretary(s) shall keep a complete record of all meetings of the Boyle County Band Association and shall have general charge and supervision of the books and records of the Boyle County Band Association. The secretary should attend all official meetings and take accurate minutes reflecting the business conducted.  The minutes shall be transcribed and distributed at the monthly meetings for approval and filing into the official records. 

The secretary should keep an updated copy of the band booster by-laws and have available at each meeting, should someone need to consult them. 

The secretary will serve all notices as required by law and by these by-laws and shall make a full report of all matters and business pertaining to this office at the annual meeting (should an annual meeting be held). 

Upon election of his/her successor, the Secretary(s) shall turn over to him/her all books and other property belonging to the Band Association that he/she may have in his/her possession.   Past year’s minutes and records should be filed in the “uniform” room in the band booster file cabinet and kept for reference and historical purposes. 

 It is the duty of the secretary to send all correspondence, thank you cards, letters and other general communication that represents the organization.

The Treasurer shall receive all funds due the Boyle County Band Association, deposit funds with a reputable bank and pay out same by order of the Executive Board as they are due. The Treasurer shall have general charge and supervision of the financial books and records, shall maintain that expenditures remain within the approved budget. The Treasurer will report the current financial status at the monthly meetings of the Executive Committee and the General Meeting, The Treasurer shall make a full report of all matters and business pertaining to his/her office at the monthly meeting.
Upon election of his/her successor, the Treasurer shall turn over to his/her successor all books, records, receipts, checks and other property belonging to the Band Association that he/she may have in his/her possession.
The Treasurer should be knowledgeable of accounting practices, business procedures and the individual should be bondable.

The treasurer must be present at all official meetings and be prepared to make a financial report to the band booster members. 

The treasurer must deliver startup money at each event and collect funds immediately following any and all home football games, basketball games, car washes and other events where cash transactions are present.  The treasurer will count the funds and should deposit them into the bank on the next regular business day. 

The collection of Band Fee's are the responsibility of the treasurer.  Payments should be tracked, recorded and deposited, accurate records kept and invoices mailed out on a regular basis.

Communications Coordinator will publish a monthly newsletter and maintain the Band Association website that announces all news relevant to the Boyle County Band Programs.  This includes middle school, elementary and high school programs.  The newsletter should be mailed to all band parents, school board members, school administration and the media.

The communications coordinator will handle all press announcements to the media and should be prepared to act as the spokesperson for any news interviews, should the president(s) delegate to them.

Full fee - $200.00 plus 12 fundraiser events
Second student - $100.00

Keep in mind that the ‘Band Year’ runs from July1st to June31.
